The cheque lifecycle in Zemam — and what happens on a bounce?

Since cheques are one of the most important financial and commercial tools used in daily transactions, Zemam puts your mind at ease — it tracks every cheque from the moment it's received until its money reaches the bank, with a correct accounting entry created along the way.

The idea in a minute

A cheque under control=A clear status+Correct auto-accounting+An alert before due date

Zemam shows you the status of every cheque — under collection, deposited, collected, bounced, endorsed, or replaced — and every transition between two statuses is recorded as a separate accounting entry.

The lifecycle, step by step

  1. 1

    Receiving the cheque

To enter a cheque: you create a receipt voucher and choose “cheque” as the payment method, then enter the cheque's details. As soon as it's registered, the customer's balance updates, and Zemam tracks its status moment by moment.

On confirmation the cheque is registered “under collection” with its accounting entry — and the customer's balance updates instantly.

  2. 2

The cheque register — the status of every cheque

Here Zemam shows the status of every cheque, its amount, and its due date — and if a cheque is due today, alerts are sent to you before the due date.

  3. 3

    Deposit and collection

You can make a deposit and the cheque moves to the chosen bank, or collect the money — whether the cheque is in the same currency as the bank or a different one, the exchange difference is calculated automatically. And to make sure everything is recorded, Zemam creates an automatic accounting entry at every step.

  4. 4

    Cheque bounce

And if the bank returned the cheque? You choose “return” for the cheque, and Zemam automatically reverses all the entries and puts the debt back on the customer again, at the same value.

  5. 5

    Replacement

If you want to replace the bounced cheque with a new one, you open the bounced cheque and choose “Replace with a new cheque” — Zemam registers the new cheque and links it in place of the old one.

  6. 6

Endorsement — pay a supplier with your customer's cheque

To speed up your work, instead of collecting a cheque and then paying the supplier separately, Zemam gives you the “Pay a supplier with this cheque” feature — the collected money goes straight to the supplier, and the accounting entries are recorded correctly on both sides.

  7. 7

    Outgoing cheques too

When you issue a cheque, Zemam registers it as an outstanding obligation, and the cheque's value isn't deducted until the payment is actually confirmed — an accounting entry is created automatically. If the cheque bounces, the system automatically restores the obligation's value to the supplier's account and cancels any allocations made on the invoices linked to it, with no change to the bank balance.

Why this is Zemam's deepest feature

Complete tracking of every cheque, with a record of all its statuses and dates.

Alerts for cheques due before their date — on web and mobile.

An accounting entry is created automatically whenever a cheque's status changes, and appears instantly on the customer's or supplier's statement.
