Practical guide

Send the statement on WhatsApp, export your reports to PDF

A customer rings asking for their statement. The usual method: open it, take a photo of the screen with your phone, and send the picture on WhatsApp — a cropped, hard-to-read image, and several of them if the statement is long. A supplier asks for a photo of the invoice, an accountant asks for the income statement. All of it done by screenshot, because there is no cleaner way.

The idea in a minute

A document in your customer's hands=A link to the document+or a PDF file

The link opens that one document — not an account and not a login to your system. The PDF is for when the customer wants a copy to keep or print.

How it works

  1. 1

    1. A Share button on the document

The customer statement, the sales invoice, the quote, the purchase order, the purchase invoice and the treasury voucher all carry a Share button. Press it and choose how to send, without leaving the screen or photographing anything.

  2. 2

    2. Send it any way you like

On a phone it opens your device's normal share sheet — WhatsApp, Telegram, email, whatever else you have, in one tap. On a computer there is copy-link to paste wherever you want, plus WhatsApp and email quick links.

  3. 3

    3. Or send it as a PDF

If the customer wants a file to keep, print or forward to their accountant, there is a share-as-PDF option — generated from your own print template with your logo and details, and sent as a file rather than an image.

  4. 4

    4. The link opens that document only

The link gives the customer no account, no login to your system and no access to anything else — it opens the document you sent, read-only, and nothing more. It is signed against that specific document, so nobody can edit a number in the URL and see a different one.

  5. 5

    5. You cannot share a draft or a voided document

The system checks the document's status before minting a link. An unconfirmed draft or a voided document cannot be shared at all — protecting you from sending a customer a figure that is still going to change, or a document that has been cancelled.

  6. 6

    6. A statement is sent with its period

A statement always covers a period. The link is minted for the period you are looking at, and changing the period mints a new one. So the customer sees exactly the period you meant — not a statement that shifts later and prompts “I saw a different number”.

  7. 7

    7. And the financial reports export to PDF

The income statement, balance sheet, trial balance and the other reports export to PDF with a clear file name naming the report and its period. Useful for the bank, your external accountant or a partners' meeting — a fixed copy of the numbers as at a moment in time.

In short

One-tap sharing to WhatsApp, email or any app — with no screenshots.

A read-only link that opens that one document — not an account, and not a way into your system.

A draft or voided document cannot be shared, and a statement always goes with its period.

PDF from your own print template with your logo — for documents and for the financial reports.

Situations that happen every day

A customer asks for their statement

Instead of several screenshots, you send one tidy link or file. The customer opens it on their phone and reads every movement clearly.

Going through a balance on the phone

Before you ring the customer you send them the statement. You talk with both of you looking at the same figures, rather than each reading from a different sheet.

The bank or your external accountant

They ask for an income statement and balance sheet for a period. You export both to PDF with clear file names and send them, instead of exporting to a spreadsheet and formatting it by hand.

A supplier asking about a purchase order

You send them a link to the purchase order so they can check the items and quantities — without sending them anything else about your business.
